HMRC PROMOTES TAXES ONLINE THUS WE HAVE AVAILABLE PERSONAL & BUSINESS TAX ACCOUNTS

There are 3-types of online tax account.

  • Individual - A personal tax account is used for individual personal taxes Including: employment / self-assessment / VAT / NI record / state pension forecast / tax calculation plus other online services.
  • Organisation - covers: VAT & PAYE for both sole traders and companies / Corporation tax / plus other online services.
  • Agent - [accountants only]

Once you have an online tax account, you and add (enrol) for additional services and taxes, thus reducing the need for multiple Government Gateway ID's. A government gateway ID is a 12-digit username [u/n] used to log in into HMRC and other government services. Once you have a gateway ID and you are attempting a new service e.g. tax credit claim, it is worth trying your existing gateway ID first. (some early Gateway ID's, have an alpha-numeric U/N instead).

If you have ever submitted your own payroll or VAT in the past, you will have online tax account. Therefore I urge you to read the rules below, because if you have lost your gateway ID, you cannot create a new one, enrolled services such as PAYE and VAT can only be linked to one online tax account for your security.

ONLINE TAX ACCOUNT RULES:

  • A person can only have one personal tax account.
  • If you cannot remember your gateway ID, you cannot create a new one - contact online customer services on the number below.
  • NI & EMPLOYMENT - information can only be accessed through an individual account.
  • SELF-ASSESSMENT - (personal tax) can be linked to an individual or organisation accounts.
  • VAT - Sole trader can be linked to an individual or organisation accounts.
  • PAYE, CORPORATION TAX & COMPANY VAT - can be linked to an organisation account only.
  • It is possible to have multiple gateway ID's registered for different services. E.g.
    • 1 Personal tax account.
    • 2 Self-assessment.
    • 3 VAT for a sole trader or company.
    • 4 PAYE for a sole trader or company.
    • 5 Corporation tax.
    • 6 Other services not mentioned here.
  • You can merge accounts - contact me for details.
  • Duplicate gateway ID's cannot be deleted at the present time. E.g. Dissolved company. THUS IF YOU HAVE ANY QUESTIONS ON TAX ACCOUNTS CALL ME.

 

MY ADVICE

  • If you are a sole trader who is never likely to employ anyone I would create a personal tax account.
    • because you can enrol/link self-assessment and VAT if required & de-enrol when no longer required.
  • Otherwise everyone else will need an organisation account for the business taxes and I would create a separate personal tax account if they wish to view their NI record / state pension forecast / employment information.
  • If you only want the basic for furloughed employees, create a business tax account and add payroll to your business account.

 

HOW TO CREATE AN ONLINE TAX ACCOUNTS

Step 1 - create an online tax account - instruction links below.

Step 2 - enrol for payroll & other services afterwards if you wish to - instruction links below. Once you have added (enrolled) a service, for obvious security, HMRC will post you a code to activate the service. Codes take 7-10 days and are valid for only 28days. In rare circumstances such as recent furloughing, HMRC may activate your new service immediately and not post out a code.

  • Once you get to the login screen - add it to your bookmarks or favorites - call me if you don't know how.
  • Much easier on Firefox / Chrome / Opera / Edge (Safari is a pain)
  • I suggest printing the instructions you want to use so it is easier to follow.

PERSONAL TAX ACCOUNT - you require your NI number & a valid passport or recent P60 (2019 or 2020). If you don't have either, it may ask random questions from your credit file. CLICK HERE FOR STEP BY STEP GUIDE

SELF-ASSESSMENT - you require

VAT - you require

  • VAT number.
  • Month of your last submitted VAT ignoring any outstanding ones.
  • Business post code of where the vat is registered to.
  • EDR Effective Date of Registration, this is the date you were originally registered for VAT. Details are on your original VAT certificate: (it is not the certificate date).

PAYE - you require

  • PAYE number (also known as Employer's Reference Number). Example 470/AB12345 (some have one letter or fewer numbers)
  • Accounts office reference which is used for your payments. Example 470PA12345678 (first letter is always a P, first 3 digits always match the Employer's Reference Number first 3-digits & there is always 8-digits after the second letter).
  • If you attempt to add PAYE to your VAT tax account and it wont let you - call me to resolve it.
